We are seeking an experienced and organized Office Manager to join our team and oversee the administrative operations of our business.

Position Overview: As the Office Manager, you will play a crucial role in ensuring the smooth functioning of our office operations. You will be responsible for managing administrative tasks, providing excellent customer service, and supporting the team in delivering high-quality services to our clients. The ideal candidate will possess excellent communication skills, be proficient in Google Suite, and have experience with CRM systems. Experience in mold, water restoration, or remediation is highly desirable. Additionally, the ideal candidate should be comfortable with technology, adept at researching options, proactive, and open to learning about the business.

Key Responsibilities:

  • Administrative Management:
    • Oversee day-to-day administrative operations, including managing office supplies, handling incoming and outgoing correspondence, and maintaining office equipment.
    • Develop and implement efficient office procedures to streamline workflows and improve productivity.
    • Organize and schedule meetings, appointments, and travel arrangements for the team as needed.
  • Customer Service:
    • Serve as the primary point of contact for clients, vendors, and visitors, providing exceptional customer service and addressing inquiries in a professional and timely manner.
    • Handle incoming calls and emails, directing them to the appropriate staff members or providing assistance as needed.
    • Maintain client records and ensure accurate and up-to-date information in our CRM system.
  • Financial Management:
    • Assist with basic accounting tasks, such as invoicing, billing, and processing payments using Quickbooks.
  • Office Communication:
    • Facilitate communication within the team by disseminating information, coordinating meetings, and maintaining internal communication channels.
    • Ensure effective communication with external stakeholders, including clients, suppliers, and partners.
  • Technical Skills:
    • Proficient in Google Suite applications (Docs, Sheets, Slides, Drive).
    • Experience with CRM systems for managing client relationships and project tracking.
    • Comfortable with technology and adept at researching options to improve office efficiency.

Qualifications:

  • Previous experience in office management or administrative roles, preferably in a similar industry.
  • Excellent communication and interpersonal skills, with a friendly and professional demeanor.
  • Strong organizational and time management abilities, with the ability to prioritize tasks effectively.
  • Experience with mold, water restoration, or remediation services is a significant advantage.
  • Proactive attitude with a willingness to learn about the business and explore new technologies.
